Application and Acceptance

Submission of an exhibitor application does not guarantee acceptance.
-
Space is allocated at the discretion of the Event organizers.
-
Once accepted, exhibitors are bound by these Terms and Conditions.
Payments
-
Full payment must be received by the due date to confirm your space.
-
No exhibitor will be allowed to set up until payment is finalized.
-
Payments are non-refundable except in the case of Event cancellation.
Set-Up and Pack-Down
-
Set-up times will be advised prior to the Event and must be strictly followed.
-
Exhibitors must complete pack-down within the allocated time after the Event.
-
Early pack-down is not permitted without organizer approval.
Site Allocation
-
Site positions are allocated by the organizers and may be changed if necessary for operational reasons.
-
Specific site requests will be considered but cannot be guaranteed.
Exhibitor Responsibilities
-
Exhibitors must ensure their space is staffed, presentable, and safe at all times during the Event.
-
All promotional material must stay within the assigned booth area.
-
Exhibitors are responsible for any damages they cause to the venue or Event property.
Health and Safety
-
Exhibitors must comply with all workplace health and safety requirements.
-
Electrical equipment must be tested and tagged.
-
Emergency exits must be kept clear at all times.
Insurance
-
Exhibitors must hold their own current Public Liability Insurance and provide a copy if requested.
-
The Event organizers accept no responsibility for loss, theft, or damage to exhibitor property.
Product Approval
-
Products/services displayed must align with the spirit of the Lifestyle & Adventure Expo.
-
Organizers reserve the right to refuse the display of products/services deemed inappropriate.
Promotion
-
By participating, exhibitors grant the organizers permission to use their business name and images for Event promotion.
Alterations to Exhibitor Space
-
The Lifestyle & Adventure Expo organizers reserve the right to make necessary alterations to exhibitor spaces in the best interest of the Event.
-
This may include adjustments to size, shape, or location of spaces.
-
Organizers will notify exhibitors of any significant changes where possible before the Event.
Animals
-
No dogs or other animals are permitted at the Lifestyle & Adventure Expo, except for registered assistance animals.
Tiny Homes, Mobile Living Builds, Steps, and Staging
-
Any Tiny Homes, Mobile Living Builds, modular builds, caravans, or similar structures that feature steps or elevated platforms must comply with safety regulations.
-
Any steps or landings that rise 1 metre or more above ground level must have continuous balustrades.
-
Steps must have a tread depth between 280mm and 355mm and a rise height between 115mm and 180mm.
-
Exhibitors are responsible for ensuring their displays meet these requirements.
Selling and Product Limitations
-
Exhibitors may only promote and sell products and services that are part of their everyday business operations and align with the lifestyle, adventure, and mobile living industries.
-
Onsite selling of non-approved products may result in removal from the Event.
Postponement, Abandonment or Cancellation
-
If the Event is postponed, abandoned, or canceled due to causes beyond the organizers' control (e.g., weather events, government restrictions, venue issues), the organizers may refund a portion of exhibitor fees at their sole discretion.
In any case, the organizers shall not be liable for any further costs, damages, or losses incurred as a result of postponement, abandonment, or cancellation.
Cancellation of Exhibitor Space
Exhibitors must advise any cancellations in writing.
If cancellation occurs 72 days or more prior to the Event, a refund (less an administration fee plus GST) may be provided if the space is resold at the same or similar price (within 25%).
If cancellation occurs within 72 days of the Event, the exhibitor forfeits all monies paid, regardless of whether the space is resold.
Lifestyle & Adventure Expo – Site Rules & Code of Conduct
Welcome to the Lifestyle & Adventure Expo!
Please help us create a safe, enjoyable experience for everyone by following these site rules:
1. Bump-In and Bump-Out

Set-up and pack-down times must be strictly followed.
-
No vehicles allowed in exhibitor areas during public open hours.
-
All displays must be completed before gates open to the public.
-
Early pack-down is not permitted without organizer approval.
2. Site Presentation
-
Keep your area neat, safe, and within your allocated space.
-
Displays must not block walkways, emergency exits, or other exhibitors.
-
Rubbish must be removed from your space during and after the event.
3. Health & Safety
-
All electrical equipment must be tested and tagged.
-
Cords and equipment must be safely secured.
-
First aid assistance is available — contact Event staff if needed.
-
You must report any accidents, hazards, or safety issues immediately.
4. Behavior
-
All exhibitors must act professionally and courteously toward visitors, staff, and other exhibitors.
-
Aggressive, unsafe, or offensive behavior will result in immediate removal.
-
Children under 16 working at a stand must be supervised at all times.
5. Insurance
-
Exhibitors must have their own Public Liability Insurance.
-
You are responsible for the security of your own stock and equipment.
6. Weather
-
This is an outdoor event (if applicable) — prepare for wind, rain, or sun.
-
Marquees and displays must be safely secured with proper weights.
7. Promotional Material
-
Flyers, signs, and promotional items must stay within your allocated site unless pre-approved.
-
No "roaming" promotion around the event unless authorized.
8. Smoking, Alcohol, and Prohibited Items
-
No smoking inside exhibitor areas — use designated smoking areas.
-
No alcohol or illegal substances may be consumed or sold.
-
Dangerous goods (e.g., fireworks, weapons) are prohibited unless authorized.
9. Media and Photography
-
Photos and video will be taken during the Event for promotional purposes.
-
By participating, you consent to the use of images featuring your display.
10. Compliance
-
Exhibitors must comply with directions from Event Management and Venue Security at all times.
-
Failure to comply may result in removal from the Event without refund.
